What Does This Error Mean?

Epson error W-04 means the printer cannot detect an ink cartridge in one of its slots. Either a cartridge is missing, not seated correctly, or not being recognized. This is a moderate error — you can usually fix it by reseating or replacing the cartridge.

How to Fix It

  1. Open the printer lid or cartridge access door. Wait for the cartridge carriage to move to the center access position.

    Do not manually push the carriage. Let the printer move it on its own after you open the access door.

  2. Press down on each cartridge gently to release it, then pull it straight out. Check the bottom of each cartridge for the orange protective tab or sealing tape.

    New cartridges ship with a small orange tab covering the ink outlet. If this is not fully removed, the cartridge will not work.

  3. Reinsert each cartridge firmly into its color-coded slot. Press down until you feel or hear a click that indicates it is fully seated.

    Make sure the cartridge colors match the slot labels inside the printer. Installing in the wrong slot will cause errors.

  4. Close the cartridge access door. The printer will run a brief initialization cycle. Wait for it to finish.

    This initialization may take 1 to 2 minutes. Do not open the access door or turn off the printer during this process.

  5. If the error clears, print a test page. If the error continues, remove the indicated cartridge and wipe the copper contact strip on the cartridge gently with a dry lint-free cloth.

    The copper strip is what the printer reads to detect the cartridge. A smudge or dried ink on it can cause detection failure.

When to Call a Professional

Error W-04 is usually fixable at home by reseating or replacing cartridges. If the error continues after installing a genuine new Epson cartridge, the slot contacts may be damaged. A repair shop can clean or replace contacts for $40 to $70.

Do I have to replace all cartridges or just the empty one?
